The quote lifecycle
Every deal in Dealops follows the same end-to-end path, whether it's a simple single-SKU sale or a three-year ramped enterprise agreement.
Opportunity → Build quote → Review → Approvals → Documents & signature → CRM writeback → Billing provisioning
1. Start from an opportunity
Quotes are created on an opportunity, usually synced from your CRM. Dealops shows the deal context up front: account details, prior contracts with this customer, CRM fields, and (for renewals and expansions) everything carried over from the existing contract.
2. Select products
Pick products from your catalog, filtered by category and by what's relevant to the deal:
- Browse categories and pre-configured bundles, or search the full catalog.
- Configure attribute-based products by choosing attribute values like region or edition.
- Add custom products for one-off line items, where your admins allow it.
Products carried over from an existing contract appear pre-selected and clearly marked, so reps build on the customer's current state instead of reconstructing it.
3. Configure pricing and terms
This is where the deal takes shape:
- Term length — 12, 24, 36 months, or anything your org allows.
- Volumes and quantities — committed usage, seat counts, transaction volumes.
- Prices — each line shows list price and any target price guidance; reps enter the negotiated quote price within configured guardrails.
- Commitments and minimums — monthly or annual minimums, commitment tiers. See Commitments & minimums.
- Ramps — different commitments or prices per period for multi-year deals. See Ramps & multi-period deals.
4. Review the deal summary
The deal summary rolls everything up: total contract value, ARR, year-by-year breakdown, and effective discounts against guidance. Anything that will trigger an approval is flagged before submission, so there are no surprises.
You can also create multiple quote options on the same opportunity and compare them side by side — different term lengths, different packaging — then group them into a proposal for the customer.
5. Submit for approval
Submitting a quote kicks off its approval workflow. Dealops derives the right approval chain from the deal itself — discount depth, products involved, deal size, term values — and routes each step to the right team.
- Approvers act in Dealops or directly from Slack with approve/reject buttons.
- Smart approvals auto-pass a step when an equal-or-better version of the deal was already approved, so iterating on a quote doesn't restart the whole chain.
See Approval workflows and Smart approvals.
6. Generate documents and collect signatures
Once approved, generate customer-facing documents — order forms and pricing presentations — from your organization's templates. Send for e-signature without leaving Dealops; signer progress is tracked on the quote. See E-signature.
7. Close the loop
When the contract is signed, Dealops finishes the job automatically:
- The quote is locked as the system of record for the deal.
- Negotiated line items and deal fields are written back to your CRM. See Salesforce or HubSpot.
- For usage-based businesses, the contract is provisioned in your billing system — commits, negotiated rates, and one-time charges included. See Billing with Metronome.
- For closed-won new business and renewals, Dealops stages the next renewal so the future contract is ready to work the moment the conversation starts. See Renewals.
Every step along the way is captured in an auditable event stream — quote created, approval decided, signature completed, contract provisioned — which also powers notifications and integrations.
